Volunteer Management Policy

» Policy Objective

This policy aims to provide guidance and assistance to all those involved in administering and managing volunteer arrangements for Able Community.

» Policy Statement

The policy outlines issues to consider in connection with volunteering and may also be useful for volunteers in understanding parameters of their engagement by Able Community Advocacy & Volunteering Platform.

» Definitions

  • Volunteering: Activity for the benefit of the community, undertaken in designated positions, of volunteer’s own free will, for personal, charitable or social motivations and without any expectation of financial payment
  • Risk Assessment: Identification, evaluation, and estimation of the levels of risks involved in a situation, their comparison against benchmarks or standards, and determination of an acceptable level of risk

» Responsibilities/Scope

The policy applies to all individuals performing voluntary tasks with Able Community, work experience students, Rimici & IMCE Programs introduction, awareness, events, campaigns, all individuals and sub organizations undertaking tasks on Able Community controlled property or facilities, information assets.

Able Community Sub-Committees/groups will be responsible for volunteers in their areas. Human Resources (HR) will coordinate work experience and work for the volunteers. Able Community Platform & Programs Advocacy Operation Team members will coordinate volunteers.

» Recommended Practices

  1. Able Community’s responsibilities
    • Able Community has duty of care towards its volunteers and proper on-boarding and reasonable supervision should be established via mutual communication & understanding.
    • Able Community will ensure that volunteer’s work enhances and supplements for the quality of our community programs & services
    • Able Community will provide induction, appropriate resources, information, support and feedback
    • Able Community will adhere to EEO policies in all aspects of Volunteer administration.
  2. Volunteer’s responsibilities
    • Volunteers must agree to volunteer coordinator being contacted in relation to their application for voluntary services.
    • Volunteers must agree to work under the guidance of the Able Community management responsible for the area of work in which they are working. The guidance may be intermittent depending upon the nature of the project.
    • Volunteers must record details in attendance register each time they volunteer.
    • Use the relevant tools and equipments provided to them.
    • Contact Able Community if they wish to vary nature of work specified to them or if they experience any problems with that work.
    • Comply with all aspects of their agreement.
    • Volunteers must carry out Risk Assessment all times and follow relevant policies.
    • Understand that any claims for medical cost incurred as a result of volunteering activities is Volunteer’s responsibility and will not be paid by Able Community/its insurers.
  3. Recruitment, selection, engagement and management of volunteers
    • Able Community will advertise or initiate contact with potential volunteers.
    • Interested individuals will complete a Volunteer Application Form (Appendix 1) and lodge it with the Able Community by due date, where applicable.
    • Able Community will carry out checks such as reference checks, working with children checks (compulsory for adult volunteers with Children Services, youth development, events and other appropriate projects), criminal record checks (compulsory for Aged care).
    • Volunteer placement will proceed only after HR has received a signed written acceptance by the volunteer of the terms and conditions of placement.
    • Able Community will provide induction covering roles and responsibilities, code of conduct, safety and risk and allied areas.
    • Where a volunteer has a dispute with member of staff or vice versa, the matter shall be referred to the immediate supervisor and if the dispute is with immediate supervisor, the matter will be raised with the Director for the area or HR.
    • Volunteer Engagement can come to an end at any time without either party giving a notice.
